Management board rules for activity organizers
About the Bahá’í Study Centre of Llíria
- The Study Centre of Llíria is offered to Spain’s Bahá’í Community, to its committees and institutions with the purpose of facilitating the study, deepening and knowledge of the Faith through the meeting of both bahá’ís and seekers.
- In order to help the achievement of these objectives, accommodation and food services are offered, as well as other auxiliary services.
- For the purpose of developing and achieving these objectives, the NSA appointed the Management Board, which is responsible for the successful implementation of these rules and provides the organizers of activities with the necessary means.
General rules
- Each activity must enforce every general rule established by the Bahá’í Study Centre of Llíria.
- The institution in charge of the activity is responsible for the schedule question, good behaviour, order and security, during the development of their activities in the installations, as well as for applying any guideline with which the NSA may have entrusted them.
- Minimum attendance required for activities is 40 people. Any activity with an inferior participation must be consulted. Maximum capacity of the centre is 150 people accommodated and 200 for dining services.
- The protocol for developing activities in the Study Centre will be the following:
- Organizers should request authorization to the Management Board. This will be done by presenting the programme of activities.
- In each activity there must be someone responsible for keeping contact with the Management Board or with someone designated by it.
- In case that the registration process of an activity is not carried out by the Management Board, it will be necessary to inform the Management Board of the approximate number of attendees at least ten days before the event. The definitive list, which must include the sex and age distribution, and the number of people with vegetarian diet, must be transmitted to the Management Board at least seven days before the event.
- The cancellation of an activity must be notified to the Management Board ten days in advance.
- The Management Board will only collect the price stipulated for the accommodation. Any other expenses will be collected by the organizers.
Audiovisual aids
- Any need in the audio-visual field must be notified with enough time in advance so that the Management Board can provide the organizers with the available means.
Modification of furniture elements and poster sticking
- Furniture elements cannot be moved out from their room or original space without Management Board’s authorization. Dining room furniture cannot be used for other purposes than their own.
- If it becomes necessary to move temporarily minor elements of the furniture, as tables or chairs, inside their original space, they will have to be placed back again after the completion of the activity.
- The Management Board has provided bulletin boards so that organizers of activities can use these spaces, if needed, to stick posters. If it is necessary to stick them in other places, organizers should consult with the Management Board.
Sale of products
- It is not allowed to sell products in the Study Centre without previous consultation with the Management Board.
Schedule
- The time for entry and exit from the Study Centre is from 8:00 am to 11:30 pm.
- The time limit for night time activities is 12:00 am, after which attendees are requested to go to their rooms and be silent.
- At 1:00 am all lights will be turned off.
Volunteers for the event
- The Study Centre is sustained largely by the service of the volunteers that attend to its activities. Organizers are asked to motivate and invite friends to get involved in cleaning, kitchen service and other needs.
- If there are specific service needs for an activity, organizers are asked to consult with the Management Board.
